Product guide · Exam management for certification bodies
Every exam, from first draft question to final report, in one platform your board can rely on.
Examfolio is one web platform for the whole life of an exam. Committees write and approve questions, build the exam, deliver it to candidates in the browser, score it and analyse how questions and candidates performed, all under one login and from one question bank.
A good examination should become better every time it is conducted. The principle Examfolio is built around
Most examination boards run their exams across two or three separate tools: a question bank, a delivery system and a spreadsheet for results. Every handover between them is a manual export, a chance of error and a gap in the audit trail.
Examfolio removes the handovers. The question bank feeds the exam directly, the exam is delivered and scored in the same place, and the statistics flow back to the questions that produced them.
Built for how boards work
The workflows are the ones examination boards already use: screening and validation, committee meetings, authors restricted to their specialty, Angoff standard setting and KR-20 reliability. They are part of the platform from the start.

Overview
Who Examfolio is for
Examfolio is built for organisations that run academic, professional and specialist examinations, where the result decides entry to a fellowship, completion of training or certification.
An exam for 50 candidates in one room and an exam for candidates spread across several countries run on the same platform.
Who uses it inside your organisation
Each organisation gets its own fully separated workspace. Inside it, a person can hold any combination of eight roles, and the menu shows only what those roles allow.
| Role | What they do |
|---|---|
| Administrator | Configures the workspace, manages users and sees everything |
| Question author | Writes and revises questions |
| Screener | Gives new questions a first review |
| Validator | Gives final approval and follows up on quality after exams |
| Translator | Translates questions and localised images |
| Committee member | Edits, builds and reviews exams together with colleagues |
| Candidate | Registers for and sits exams, and sees their own results |
| Location supervisor | Runs a test centre and oversees the candidates sitting there |
Overview
The improvement cycle
Examfolio connects four parts of specialist assessment. Develop the question bank, deliver the exam, protect its integrity, and learn from the results. What each exam teaches you feeds straight into the next one, so your examination programme becomes a learning system.
In practice an exam moves through seven stages. The first three happen in the question bank, the lock turns the chosen questions into a permanent exam, and the last three run from that locked record.
Develop
A question bank your committee can trust
Questions are written, reviewed, translated and versioned in one place. Every question keeps its full history: who changed it, when, and the comment they left.
A new version never overwrites the old one. A question that has appeared in a delivered exam can only be versioned, so the record of what candidates saw stays intact.
A stem with an image, the options and the translation panel open in a second language, with the version chain visible.
Develop
Optional moduleAI question generator: first drafts in your board's own voice
An author tells the generator what is needed: the category, the curriculum area, the difficulty, the format, how many questions, and a topic focus. A multi-stage pipeline then drafts the questions in your organisation's measured writing style, revises them against established item-writing rules, and scores each one from 0 to 100 with a written critique.
The batch lands in a staging area. The author reads each draft with its score and critique, then edits it, discards it or accepts it into the pool.
What the generator does
Drafting aid
- Writes in your organisation's measured house style
- Revises each draft against item-writing rules
- Scores each question and explains the score
- Attaches a rationale and references
What the expert decides
Asked of every draft
- Is it factually correct?
- Does it test the intended knowledge or competency?
- Is the level right for this exam?
- Is the correct answer unambiguous?
- Are the distractors plausible and still clearly wrong?
- Does it meet our examination standards?
Only after the normal review and approval does a question join the bank.
Fill thin areas of the blueprint
Use casePoint the generator at a curriculum area with too few approved questions and hand authors a batch to work on.
Give authors a strong first draft
Use caseThe critique shows where a draft needs work, so committee time goes on judgement and subject expertise.
Develop
Building and locking an exam
An exam set is built by picking questions from the pool and ordering them by drag and drop, or by letting Examfolio fill it: how many questions per category, which statuses are eligible, and which earlier exams to exclude so questions are not reused.
Locking the set freezes every stem, option, image and translation into a snapshot with a cryptographic fingerprint. Questions can be edited, versioned or re-translated afterwards without touching the exam. Delivery, scoring, results and reports always use the snapshot.
- Build. Pick by hand, or auto-fill by category from the statuses you allow.
- Check. The set warns when a question has been revised since it was added, shows the composition by category and renders a candidate-style preview.
- Lock. The snapshot is created and fingerprinted.
- Reuse the evidence. The set's analysis tab lists every exam ever delivered from it, with headline statistics.

Deliver
Running an exam
An exam is created from a locked set, with a title, candidate instructions, an optional access code, a registration window and an exam window. The exam office runs registration, test centres and communication from the same workspace.
Every candidate's status and progress during an exam, the count of who needs a look, and one session timeline opened.
Deliver
The candidate's view
Candidates sit the exam in a browser on any device, with nothing to install. The clock runs on the server, so a changed computer clock has no effect. Questions arrive one at a time, the device never holds the whole exam, and correct answers never reach it.
- Before the start the candidate sees exactly what will be recorded, and enters the access code if the exam has one.
- During the exam every answer is saved as it is given. A navigator shows answered, viewed, flagged and unanswered questions.
- If the connection drops the candidate resumes where they were, with answers, flags and viewed states intact.
- At the end a review screen and an explicit confirmation, then a receipt on screen and by email. Time expiry submits automatically.
Two ways to deliver
High-stakes sittings
Scheduled exams
- Registration and exam windows
- One or many test centres, or candidates at home
- Integrity profile set per exam
- Export to Pearson VUE when an external centre delivers
Self-paced assessments
In the candidate's own time
- Candidates sit when it suits them
- The same question bank, scoring and analysis
- Results and feedback released as you decide
[Add details of the self-paced offer]
A question with the navigator, a flagged item, and the candidate watermark visible across the page.
Protect
Exam integrity
No technology can make cheating impossible. Examfolio takes a layered approach instead: it makes cheating expensive and visible, reports what it finds as observations with their statistical basis, and leaves the final judgement with the board. Candidates are told in advance what is recorded.
- Authentication. Each candidate signs in with their own account, plus an access code where the exam uses one.
- A controlled environment. Fullscreen required, copy, paste and print blocked, and questions delivered one at a time.
- Monitoring during the exam. A focus watchdog warns on screen, and every event goes into a tamper-evident log.
- Review after the exam. Answer pattern, timing and behaviour are read together for each candidate.
- The board's judgement. Staff see the evidence and decide what, if anything, to act on.
When the result decides outcomes like these, integrity decides whether the result is trusted.

After the exam: three layers
Answer pattern
Who answered like whom?
Timing
Was the pace plausible?
Behaviour
What happened on the screen?
Numbers are only shown when there is enough data for them to mean something, and the wording is always "observation". Two evidence tools answer "who saw this screenshot?" from the watermark or from the order of the options visible in the image.
Learn
Results and question quality
Scoring is automatic on submission. When an error turns up in the answer key, staff correct it and rescore the whole exam in one step. Reports go down to the individual question, and every figure traces back to the candidate answers behind it.
Candidate results
For candidates
- Passed or not passed, score and pass mark
- Percentile and cohort mean
- Score by category, and the cohort distribution
- Question-by-question feedback, if enabled
The board decides per exam how much is shown.
Exam report
For the exam chair
- Mean, median, standard deviation
- KR-20 reliability and standard error
- Angoff cut score and pass rate
- By category, location, country and year of training
Export to CSV, JSON and ExamManager XML.
Item analysis
For the committee
- Difficulty, discrimination, point-biserial
- How often each option was chosen
- Tracked across every exam and version
- Weak items colour-coded in the pool
Committees prune the bank on evidence.
Headline statistics, the score distribution and the breakdown by country, with the export menu open.
Did the question separate strong candidates from weak ones?
A correct-answer rate says how hard a question was. The difficulty index shows which questions were too easy or too hard. The point-biserial correlation goes further: it compares how candidates did on one question with how they did on the whole exam. A question answered correctly mostly by strong candidates discriminates well. One that strong and weak candidates answer alike may be ambiguous or off target.
These figures are a signal for the experts to weigh. After each exam, the committee decides what happens to each question.
Working with us
Configured around your programme
Every board has its own governance, its own question development process and its own rules. You keep the way your organisation already works. We configure Examfolio around it with you, and the configuration can change as your programme develops.
Working with us
Moving to Examfolio
Existing customers move with everything intact: users merged by email, every question with its full version history, media, comments, tags, curriculum and translations, every exam set and delivered exam, every candidate answer and result, and every test centre and contact.
A migration is accepted only after the checks pass. Migrated exams state clearly what they cannot show, and the legacy import and export formats remain available afterwards.
